K&L Head Spa Clinic – Booking & Payment Policy

Appointment Confirmation Policy

Please note that requesting an appointment does not mean your appointment is instantly confirmed.

All appointment requests must first be reviewed and accepted by K&L Head Spa Clinic. Once your request has been approved, you will receive an instant confirmation message confirming your appointment details.

Until you receive this confirmation, your appointment should not be considered booked or guaranteed.

Booking Fee

A non-refundable and non-transferable booking fee of £30 is required for all appointments. This fee secures the specific date and time booked.

Appointments are not confirmed until the booking fee has been paid.

The remaining balance must be paid on the day of your appointment unless otherwise stated.

Please note:

The booking fee cannot be transferred to another date or appointment.

If you cancel or reschedule your appointment, the booking fee will be forfeited.

Cancellations

We require a minimum of 48 hours’ notice to cancel or reschedule your appointment. This allows us to release your appointment slot and offer it to other clients.

Please note that all booking fees are non-refundable under any circumstances, including where the required notice period is given.

Booking fees are taken to secure your appointment time and to cover potential loss of business.

Cancellations made within 48 hours of the appointment time will be charged the full treatment amount.

Cancellations made on the day of the appointment are not permitted and will be treated as a no-show.

If you cancel on the day of your appointment, the £30 booking fee will be forfeited and the full treatment amount will still be payable, regardless of whether you wish to reschedule or not.

Failure to pay outstanding balances will result in being unable to make future bookings with K&L Head Spa Clinic.

Rescheduling

If you wish to reschedule your appointment, 48 hours’ notice is required. The full service amount must be paid upfront in order to secure your new booking.

Please note that rescheduling will result in the loss of your original booking fee, as this fee is non-transferable.

Payment for the rescheduled appointment must be made within 24 hours of requesting the change. If payment is not received within this time frame, the reschedule request may be declined and the new appointment slot may be released.

Late Arrivals

We allow a 10-minute grace period after your scheduled appointment time.

If you arrive more than 10 minutes late, your appointment may be cancelled and your booking fee will be forfeited.

K&L Head Spa Clinic is not liable for missed appointments due to lateness. We advise you plan enough journey time.

Clothing Attire

Please wear comfortable clothing, ideally items that do not cover the neck and shoulders if you are booked for a neck and shoulder treatment.

Bulky clothing such as jumpers or hoodies may affect your comfort and the effectiveness of the massage on our head spa bed.

Consultation Requirement

A consultation form must be completed before booking any treatment.

If you fail to complete the consultation and we are unable to proceed with your treatment, K&L Head Spa Clinic will not be held liable and the booking fee will not be refunded and you may still be charged in full.

Important Booking Information

Please do not book a treatment if you are pregnant or wearing hair extensions.

If you have any medical conditions or concerns, please contact us before booking so we can discuss your suitability for treatment.

Age Policy

Clients must be 18 years or older to book a treatment.

Anyone under the age of 18 must be accompanied and supervised by a parent or legal guardian during their appointment.

Guests & Children

Clients must attend their appointment alone or with the person they booked with.

Shared Treatment Space

Please note that treatments may take place in a shared treatment space with another client.

If you prefer a private experience, please contact us.

Gift Vouchers

Gift vouchers are valid for 6 months from the date of purchase. We believe a 6 month validity period provides plenty of time to use your voucher. We are therefore unable to accept, extend or reinstate vouchers once they have expired. Please ensure your appointment is both booked and attended within the 6-month validity period.

It is the customer’s responsibility to ensure their voucher is valid and in date before booking an appointment.

If you attend an appointment with an expired voucher, the voucher will not be accepted and you will be required to pay the full treatment price.

If an appointment booked using a gift voucher is cancelled within 48 hours or on the day of the appointment, it will be treated as a no-show and the voucher will be considered redeemed.

Failure to attend your appointment or cancelling on the day will result in the voucher being void and full payment will be required to make a new booking.

Gift vouchers are non-refundable and cannot be exchanged for cash.

How to book with a gift voucher

1. Book online through our booking system and select the Gift Voucher option. You will not be charged when making your booking.

2. Upload your gift voucher code when prompted. If you experience any issues uploading your voucher, please enter the voucher code in the notes section of your booking or contact us directly.

3. Your booking must first be accepted before we are able to access and review your gift voucher code. Please note that acceptance of the booking does not confirm your appointment.

4. Gift voucher bookings are reviewed every Tuesday. We check all upcoming gift voucher appointments to ensure that the voucher is valid and still within the 6-month validity period.

5. Once your voucher has been reviewed, you will receive a confirmation message confirming your appointment.

Important

The automatic reminder message sent 2 days before your appointment is generated by our booking system and does not confirm your gift voucher or appointment.

Your appointment is only confirmed once you have received confirmation from us following the review of your gift voucher.

Mum and daughter had the dual luxury head spa experience for two. Gorgeous experience and highly recommended. The girls were really knowledgeable with our scalp analysis and tailored our experience to suit our individual needs. Really relaxing and just what we both needed. I had the luxury head spa.
The lady doing the treatment (sorry I didn’t get your name!) was very attentive to my needs and friendly from start to finish (due to health problems). Explained what would be happening before the treatment and how the special massage bed works. Made sure I was comfortable before starting the treatment and was very helpful when I had to make a slight adjustment due to my back problems.
Amazing experience from start to finish! Would definitely recommend!

Had the 90 minute head spa this afternoon and it was dreamy! It takes a lot for me to switch off and I was nearly asleep.. Will 100% be back, thank you xx

The therapist was so welcoming from the start and explained each step of the experience beautifully. It was actually a birthday gift, but after this experience, I wouldn’t hesitate to book it again for myself.

Such a wonderful relaxing experience. The ambience when you walk in is immediately relaxing. I had the luxury head massage which was amazing. First my scalp was looked at using a small handheld camera. This meant that my treatment was specific to my scalp and hair type. The treatment itself was so relaxing, with the massage bed and the hair and scalp massage. I had my hair dried after the massage which was great. I will definitely be booking again. Thank you so much to Kelsey and Chelsea.

Amazing experience! Can’t wait to book again!

Bought a dual head spa as a gift for my friends birthday, we had a lovely afternoon, the therapists were welcoming, clinic relaxing, treatments were professional, i chose this clinic due to it being specific for head spas and the body massage beds, unlike some beauty salons offering a head spa over a sink, will definitely return and recommend, Thank You
