BOOKING TERMS AND PRIVACY NOTICE Bookings are confirmed at the time of booking. Clients may cancel or reschedule up to 24 hours before their appointment. A reasonable grace period may be offered where possible; however, late arrivals may result in a shortened appointment or rescheduling at the business's discretion. Payment is due at the time of service. Accepted payment methods may vary. Clients must disclose any relevant allergies, sensitivities, injuries, medical conditions, or other information that may affect their treatment before their appointment. Clients should attend appointments alone unless prior arrangements have been made. No refunds are available once a treatment has been completed. Why I Collect Your Information To provide safe and effective treatments, I may collect and process personal information including: • Name and contact details • Medical history and relevant health information • Information relating to your treatments and appointments • Treatment notes and records This information is used solely to assess your suitability for treatment, provide treatments safely, maintain accurate records and comply with legal, professional and insurance requirements. Lawful Basis for Processing I process your personal information under the lawful basis of Legitimate Interests and where necessary to meet legal, insurance and professional obligations. As some information relates to your health, it is classed as special category data and is processed for the provision of health and wellbeing services. How Your Information Is Stored Your information is stored securely in password-protected electronic systems and/or locked storage. Access is restricted to authorised persons only. How Long Records Are Kept Adult client records are retained for a minimum of 7 years after your last treatment in accordance with insurance and professional requirements. Records relating to children are retained until the child reaches the age of 25, or age 26 if treatment took place when they were 17 years old. After the relevant retention period, records will be securely destroyed. Sharing Information Your personal information will not be shared with third parties without your consent unless: • Required by law • Required by a court order • Necessary to protect your safety or the safety of another person • Required by my insurers or professional advisers in relation to a legal claim International Transfers Your personal information will not be transferred outside the United Kingdom unless appropriate safeguards are in place in accordance with UK data protection law.
