Terms of Service: Appointment Booking, Cancellation, and Salon Policies 1. Deposits and Payment Terms Non-Refundable Deposits: All deposits required at the time of booking are strictly non-refundable and constitute a commitment to secure your scheduled time slot. Balance Due: The remaining balance for any service is due in full on the day of the appointment. The Natural Crown, LLC does not accept cash payments; valid electronic payment or credit/debit instruments are required. Deposit Transfers: Deposits may be transferred to a rescheduled appointment exactly once (1), provided the new appointment date falls within thirty (30) calendar days of the original date. Automatic Cancellation: Any appointment scheduled without a successfully processed and secured deposit at least seventy-two (72) hours prior to the scheduled time will be automatically canceled by the system without further notice or liability to the client. 2. Cancellation and Rescheduling Policy Notice Requirement: Clients must provide a minimum of thirty-six (36) hours' notice prior to their scheduled appointment time to cancel or reschedule. Late Cancellation Penalty: Cancellations or rescheduling requests submitted with less than thirty-six (36) hours' notice will result in the immediate forfeiture of the deposit. Additionally, The Natural Crown, LLC reserves the absolute right to automatically charge the credit card on file an amount equal to fifty percent (50%) of the scheduled service total. Service Termination for Abuse: Any client who executes more than two (2) late cancellations, no-shows, or any combination thereof within any rolling sixty (60) day period will be permanently prohibited from booking or receiving future services. 3. Punctuality and Late Arrival Rules Grace Period: A strict five (5) minute grace period is permitted. Late Fees: Arrival at the six (6) minute mark will result in an automatic fifteen-dollar ($15.00) late fee applied to the final invoice. Discretionary Cancellation: Clients arriving ten (10) minutes or more past their scheduled time may have their appointment canceled at the sole discretion of The Natural Crown, LLC. In the event of such cancellation, the deposit is forfeited, and the card on file will be charged fifty percent (50%) of the total scheduled service amount. 4. Salon Environment and Guest Restrictions The Natural Crown is committed to providing a peaceful, relaxing, and professional environment for every client. To protect the experience of all guests and maintain a safe, comfortable workspace, the following guest policy applies: Clients ages 13 and older are welcome to receive services. One (1) parent or legal guardian may accompany a minor during their appointment. Additional guests are not permitted during appointments. Small children, infants, and children who are not receiving a scheduled service are not permitted in the waiting area or salon. Please make appropriate arrangements for children who are not receiving services before arriving for your appointment. If a client arrives with an unauthorized guest or small child, they may be asked to reschedule or leave the premises. If the appointment must be cancelled due to failure to comply with this policy, the appointment will be considered a client-initiated cancellation and 100% of the scheduled service fee will be charged to the card on file. Deposits are non-refundable and will not be returned or transferred when an appointment is cancelled due to violation of the guest policy. This policy applies to all clients and is in place to ensure that The Natural Crown remains a calm, safe, and elevated environment for everyone. 5. Client Preparation Preparation Mandate: Clients must arrive with their hair and scalp physically prepared for the designated service. This requires hair to be fully detangled, and any chemical color treatments must be at least fourteen (14) days old prior to the appointment. Non-Compliance Penalty: Failure to meet these specific scalp and hair preparation standards prevents the safe execution of the service. Non-compliant arrivals will result in immediate cancellation of the session, and the card on file will be charged one hundred percent (100%) of the total scheduled service amount. 6. Media Release and Likeness Consent Grant of Rights: By booking an appointment, you grant The Natural Crown, LLC an irrevocable, worldwide, royalty-free, perpetual license to capture, record, edit, and publish your image, voice, and likeness. Usage Scope: This material may be used across any media channels now known or hereafter developed for promotional, marketing, commercial, and educational purposes related to hair and spa services. Waiver: You explicitly waive all rights to inspect or approve final outputs, waive any claims to royalties or ongoing financial compensation, and release The Natural Crown, LLC and its legal representatives from any liability stemming from the publication of said media. 7. Head Spa and Scalp Analysis Consent Informed Consent: By purchasing, scheduling, or receiving a Head Spa service and accompanying scalp assessment from The Natural Crown, LLC, you explicitly consent to the administration of these procedures. These services may encompass advanced scalp cleansing, specialized massage techniques, thermal steam therapy, custom scalp treatments, holistic aromatherapy, and the application of concentrated essential oils. Cosmetic Scope Limitation: You acknowledge and understand that all scalp assessments are purely cosmetic in nature. They are performed strictly within the professional scope of a licensed cosmetologist and are completely unauthorized, unsuited, and not intended to diagnose, treat, cure, or mitigate any underlying medical or dermatological conditions. Risk Acknowledgement: You recognize and accept the inherent physical possibility of localized skin irritation, allergic reactions, unexpected topical sensitivity, or physical discomfort resulting from the therapies or products utilized. Mandatory Disclosure: You confirm that you have accurately and fully disclosed any relevant personal health history, known allergies, current prescription medications, pregnancy status, postpartum conditions, or any other physiological concerns that could safely modify or impact the rendering of your service. Release of Liability: By executing your booking registration or checking the mandatory consent checkbox, you affirm that you have thoroughly read and comprehended this framework, voluntarily accept the care, and fully release The Natural Crown, LLC, its owners, employees, and authorized representatives from any claims or liability arising from services rendered, except where strictly prohibited by applicable state, provincial, or federal law. 8. Purpose and Enforcement Acknowledgement Policy Integrity: These structural policies are strictly enforced to maintain the absolute integrity of our scheduling system and to ensure exceptional, high-tier service standards for every scheduled appointment.
