BOOKING & PAYMENT A $50 non-refundable retainer is required to secure your booking. No retainer = no confirmed appointment. Verbal conversations, DMs, or inquiries do not secure a time slot. Scheduling Flexibility: Don’t see your desired time slot? Contact JC Visuals before booking. If your requested time falls within our operating hours, we may be able to manually accommodate your appointment depending on availability. Requests outside of normal operating hours may also be considered on a case-by-case basis but are not guaranteed. Once an alternate date/time is approved by JC Visuals, your appointment will be manually added to the booking calendar and confirmed. An appointment is not secured until all required booking requirements, including the deposit, have been completed. For non-event sessions, the remaining balance is due immediately after the session. No final images or deliverables will be released until full payment has been received. EVENT PHOTOGRAPHY Event coverage is booked by inquiry only due to varying coverage times, locations, and event requirements. Please contact JC Visuals via phone, DM, or email with your event date, location, and requested coverage time for availability and a quote. Once event coverage has been confirmed, a $50 non-refundable retainer is required to secure the booking. The remaining event balance must be paid in full before event coverage begins. CANCELLATIONS & RESCHEDULING Clients may cancel or reschedule up to 24 hours before their appointment. All retainers are non-refundable. Same-day or last-minute rescheduling may result in a $50 rescheduling fee. If a rescheduling fee applies, it must be paid directly to JC Visuals before a new appointment is confirmed. Once payment is received and a new date/time has been agreed upon, JC Visuals will update the appointment in the scheduling system. All rescheduled appointments are subject to availability. LATENESS A 10-minute grace period is provided. After 15 minutes, a $25 late fee may apply. Any applicable late fee must be paid directly to JC Visuals. After 30 minutes without communication, the session may be canceled without a refund. LOCATIONS & ADDITIONAL FEES Clients are responsible for securing any required locations, permits, tickets, reservations, studio rentals, parking, entry fees, or other location-related costs unless otherwise agreed upon in writing. JC Visuals is not responsible for securing or paying these costs on the client’s behalf. Failure to secure required access to a location may result in cancellation without a retainer refund. WEATHER & UNFORESEEN CIRCUMSTANCES Outdoor sessions affected by unsafe or severe weather may be rescheduled at no additional cost. Retainers remain non-refundable when a session is rescheduled. If JC Visuals is unable to fulfill or deliver the service because of an emergency, technical failure, or another circumstance on the photographer’s end, a reshoot, partial refund, or full refund may be offered depending on the circumstances. IMAGE DELIVERY & USAGE Final edited images will be delivered through a private online gallery and should be downloaded within 30 days. Clients are responsible for securely storing their files after delivery. JC Visuals retains copyright ownership of all photographs. Clients receive personal-use rights for sharing, printing, and personal posting. Commercial use, paid advertising, publication, licensing, or other brand-related usage may require a separate licensing agreement. CONDUCT Clients and guests are expected to maintain respectful and professional behavior before and during services. JC Visuals reserves the right to end a session or event coverage if unsafe, hostile, inappropriate, or disruptive behavior occurs. Locations & Safety: All on-location sessions must take place in a safe, appropriate, and reasonably public environment. Sessions will not take place in secluded or isolated areas where there is limited visibility or access to other people. Alleys are only permitted when they are in a public/visible area where other people are reasonably nearby or can see the location. Clients are responsible for any permits, studio/rental fees, parking, admission, or other costs required to access the location. JC Visuals reserves the right to decline, relocate, cancel, or end a session if the location or surrounding environment appears unsafe, overly secluded, restricted, or otherwise creates a reasonable safety concern. If a location becomes unavailable or unsuitable, an alternative location may be arranged when possible. PAYMENT DISPUTES Fraudulent or knowingly false payment disputes or chargebacks may result in refusal of future JC Visuals services. AGREEMENT By booking with JC Visuals, you acknowledge that you have reviewed and agreed to these booking policies and the terms of your applicable photography agreement.
