Heidi’s Hounds and Hairs – Terms & Conditions

To ensure that all pets receive the best care and that our schedule runs smoothly, we kindly ask all clients to respect their appointment times. Please review the following terms regarding late drop-offs and pick-ups:
	1.	Drop-Off Times:
	•	Please arrive on time for your scheduled appointment.
	•	If you are more than 15 minutes late, your appointment may need to be rescheduled, and a late fee of £10 may be applied.
	2.	Pick-Up Times:
	•	We will contact you when your dog’s grooming session is complete.
	•	Please collect your dog within 30 minutes of being notified.
	•	Dogs collected more than 30 minutes late may incur a holding fee of £10 to cover  supervision and care.
	3.	Repeated Late Arrivals:
	•	Clients who are repeatedly late for drop-offs or pick-ups may be asked to prepay for future appointments or may lose the right to book future slots.
	4.	Emergencies:
	• I understand that unexpected situations happen. Please call me as soon as possible if you are running late — I will do my best to accommodate you.

By booking an appointment, you agree to these terms and understand that late fees may be added to your final bill.



Health

Vaccinations & Veterinary Information
By using our services, pet owners confirm that their dogs are fully up to date with the following vaccinations:
	•	Canine Parvovirus
	•	Canine Distemper Virus
	•	Leptospirosis
	•	Infectious Canine Hepatitis

Proof of vaccination must be provided to Heidi’s Hounds and Hairs upon request, along with up-to-date contact information for your current veterinarian.

Health Issues & Senior Dogs
Grooming can occasionally be stressful, particularly for elderly dogs or those with underlying health conditions. This stress may aggravate existing issues or reveal previously undetected problems during or after grooming. In such cases, and in the best interest of your pet, you grant Heidi’s Hounds and Hairs permission to seek immediate veterinary attention if deemed necessary. We will always attempt to contact you first. Should that not be possible, your pet will be taken either to our authorised veterinarian or the nearest available practice. All veterinary expenses incurred will be the responsibility of the pet’s owner.

Fleas & Ticks
Heidi’s Hounds and Hairs maintains a flea- and tick-free environment. If your dog is found to have a flea or tick infestation, we will require you to reschedule your grooming appointment once the issue has been effectively treated.
Flea or tick infestations carry health risks including anaemia, infections, and the spread of tapeworms. We recommend contacting your veterinarian for advice on the most appropriate treatment, which may include a monthly topical preventative. It is essential to treat all pets in your household as well as your home environment for long-term control.

If fleas are found during your dog’s appointment:
	•	Your dog will be bathed with a flea treatment shampoo.
	•	An additional £15 fee will be added for disinfecting the salon.

If ticks are found, a £5 fee will be applied for removal.

Behaviour

Aggressive or Dangerous Dogs
Owners must inform us if their dog has ever shown aggression, including biting people, other animals, or reacting negatively to specific grooming procedures. We reserve the right to refuse or discontinue grooming services at any time for the safety of both groomer and pet.
Should your dog bite or cause injury, you—the owner—agree to cover any resulting medical bills, loss of income, or damage to equipment.

Coat Condition

At Heidi’s Hounds and Hairs, we prioritise “Humanity over Vanity.”
If a dog is presented with a neglected coat, we will assess whether it is more humane to clip the coat short rather than proceed with lengthy and potentially painful de-matting procedures. This decision is in accordance with The Animal Welfare Act 2006, which states that causing unnecessary suffering to an animal is a criminal offence.

While every effort will be made to assess coat condition during the pre-groom consultation, extensive matting may only become fully evident once grooming has begun. In such cases, we will try to contact you. If we cannot reach you, we will proceed in a manner that prioritises the health and wellbeing of your pet.

De-Matting Disclaimer

Under the Animal Welfare Act 2006, we are legally required to clip short any coat that requires more than 15 minutes of de-matting. We will only attempt to de-matt minor areas (no more than 5% of the coat) such as:
	•	Behind the ears
	•	Armpits
	•	Groin or tail area

If your dog’s coat is matted:
	•	We will clip the coat short for the dog’s comfort and safety.
	•	You may notice red, irritated, or sore skin once the coat is removed due to the lack of ventilation and circulation beneath the matting.
	•	We may charge an additional fee due to the extra time, effort, wear on equipment, and grooming products required.

De-matting increases the risk of:
	•	Minor injuries such as cuts, nicks, or skin irritation
	•	Behavioural changes (scratching, licking, “scooting”)
	•	Potential for haematomas due to close clipping

Daily brushing with a slicker brush and comb can prevent matting. We’re happy to demonstrate the correct brushing technique and discuss a grooming schedule to help achieve and maintain your desired look for your dog.

Accidents

While every effort is made to ensure the safety and comfort of your dog, accidents can occasionally occur. Grooming tools are sharp, and even with great care, dogs that move suddenly or are nervous may experience minor injuries such as nicks or scratches.

If an accident or illness occurs, we may contact a veterinarian. Unless proven otherwise, the pet owner is responsible for any veterinary expenses resulting from such incidents.
For your peace of mind, we strongly recommend pet insurance.

Pricing & Appointments

Cancellations & No-Shows
Cancellations made within 24 hours of your appointment will incur a 50% charge of the scheduled groom.
Please respect our time, as we are a single-groomer operation and missed appointments significantly impact our schedule.

Pricing Structure
Grooming fees are based on:
	•	Duration of the groom
	•	Coat condition
	•	Behaviour and temperament of the dog

Heavily matted coats, aggressive behaviour, or health conditions requiring extra time or care may incur additional charges. These may include extra grooming products used or wear and tear on equipment.

A very positive  first meeting with our very nervous dog,  Heidi was very welcoming and did her best to make Lottie feel calm.

Lovely lady, very friendly and when I collected my dog he looked great and was in good spirits.

I was a bit of a naughty boy to start with but I was just really nervous and did not want my mummy to leave me. The lady with the bath was so nice to me and I did what I was sussposed to do. I didn't like my paws so she used the scissors and cut carefully which was ok. I am now back to my handsome self and smelling lovely for the ladies x

Cannot recommend Heidi enough, we have a very nervous springer spaniel and she was fantastic with him. He was so relaxed and was happy to stay with her. Heidi was brilliant with my chocolate Labrador chunk Amalfi, he was very pampered and looked fantabulous when I collected him. Amalfi is a very bouncy high energy boy but Heidi gelled with him straightaway and put my mind at ease. He smells divine, his nails are much shorter, ears really shiny and coat looking much better now his summer coat has been deshedded. Highly recommend Heidi for making any dog look and feel amazing. I have been taking my dog ‘Biscuit’ to Heidi for over a year now. My dog was very nervous at first due to previous issues with groomers. Heidi done a few meet & treats before even going anywhere near Biscuit for a haircut! She had all the time in the world to make sure my dog was comfortable with her before starting and this clearly paid off! Biscuit pulls me in to get her groom.. even on the days when Bisc is nervous Heidi always makes her at ease. Would highly recommend!

My dog Maisel had a bad experience at a groomers when she was younger but since meeting Heidi it has been a much more positive experience. Heidi is so caring and has given Maisel so much time getting her used to being groomed. We travel from London she is so good :)
