K&L Head Spa Clinic – Booking & Payment Policy Appointment Confirmation Policy Please note that requesting an appointment does not mean your appointment is confirmed. All appointment requests must first be reviewed and accepted by K&L. Once your request has been approved, you will receive an instant confirmation message confirming your appointment details. Until you receive this confirmation, your appointment should not be considered booked or guaranteed. Booking Fee A non-refundable and non-transferable booking fee of £30 is required for all appointments. This fee secures the specific date and time booked. Appointments are not confirmed until the booking fee has been paid. The remaining balance must be paid on the day of your appointment unless otherwise stated. Please note: The booking fee cannot be transferred to another date or appointment. If you cancel or reschedule your appointment, the booking fee will be forfeited. Cancellations We require a minimum of 48 hours’ notice to cancel or reschedule your appointment. This allows us to release your appointment slot and offer it to other clients. Please note that all booking fees are non-refundable under any circumstances, including where the required notice period is given. Booking fees are taken to secure your appointment time and to cover potential loss of business. Cancellations made within 48 hours of the appointment time will be charged the full treatment amount. Cancellations made on the day of the appointment are not permitted and will be treated as a no-show. If you cancel on the day of your appointment, the £30 booking fee will be forfeited and the full treatment amount will still be payable, regardless of whether you wish to reschedule or not. Failure to pay outstanding balances will result in being unable to make future bookings with K&L Head Spa Clinic. Rescheduling If you wish to reschedule your appointment, 48 hours’ notice is required. If you wish to reschedule your appointment, the full service amount must be paid upfront in order to secure your new booking. Please note that rescheduling will result in the loss of your original booking fee, as this fee is non-transferable. Payment for the rescheduled appointment must be made within 24 hours of requesting the change. If payment is not received within this time frame, the reschedule request may be declined and the new appointment slot may be released. Late Arrivals We allow a 10-minute grace period after your scheduled appointment time. If you arrive more than 10 minutes late, your appointment may be cancelled and your booking fee will be forfeited. K&L Head Spa Clinic is not liable for missed appointments due to lateness. We advise you plan enough journey time. Clothing Attire Please wear comfortable clothing, ideally items that do not cover the neck and shoulders if you are booked for a neck and shoulder treatment. Bulky clothing such as jumpers or hoodies may affect your comfort and the effectiveness of the massage on our head spa bed. Consultation Requirement A consultation form must be completed before booking any treatment. If you fail to complete the consultation and we are unable to proceed with your treatment, K&L Head Spa Clinic will not be held liable and the booking fee will not be refunded and you may still be charged in full. Age Policy Clients must be 18 years or older to book a treatment. Anyone under the age of 18 must be accompanied and supervised by a parent or legal guardian during their appointment. Guests & Children Clients must attend their appointment alone or with the person they booked with. Due to insurance and safety regulations, children are not permitted on the premises. Shared Treatment Space Please note that treatments may take place in a shared treatment space with another client. If you prefer a private experience, please contact us. Gift Vouchers Gift vouchers are valid for 6 months from the date of purchase. Appointments must be booked and attended before the expiry date. If an appointment booked using a gift voucher is cancelled within 48 hours or on the day of the appointment, it will be treated as a no-show and the voucher will be considered redeemed. Failure to attend your appointment or cancelling on the day will result in the voucher being void and full payment will be required to make a new booking. Gift vouchers are non-refundable and cannot be exchanged for cash. Agreement to Terms By proceeding with a booking at K&L Head Spa Clinic, you acknowledge and agree to the terms and conditions outlined above.
